What you're actually paying for

Field service management (FSM) software handles the operational loop that keeps technicians productive: work order creation, scheduling and dispatch, mobile job access, parts inventory, and customer communication. The licence buys the platform. What moves the cost is how much of that loop you need covered and how many people use it.

The three components that appear on every invoice:

  • Licence fee — per user per month, or consumption-based (Acumatica). Includes the base scheduling and work order modules.
  • Add-on modules — IoT monitoring, customer self-service portal, advanced analytics, and inventory management each carry separate line items on most platforms.
  • Implementation services — data migration, configuration, integrations, and training. Quoted separately by the vendor or a partner. This is where projects run over.

What actually drives your price up

Number of dispatcher seats vs field tech seats

Most platforms price dispatcher seats (the office users who assign jobs) separately from field technician seats (the mobile users who complete them). Field tech seats are usually cheaper. A team of 2 dispatchers and 20 technicians pays a different blended rate than a team of 10 dispatchers and 20 technicians.

Module activation

Basic work order and scheduling is the entry price. Each of these adds cost: real-time inventory tracking, customer self-service portal, IoT sensor integration, route optimisation, SLA monitoring, and advanced analytics. Vendors price these as add-ons — check what is bundled vs billed separately before signing.

Integration requirements

Connecting FSM software to your existing ERP, accounting system, or CRM is where implementation costs climb. A Dynamics 365 shop adding Field Service runs integration inside the Microsoft stack and keeps costs contained. A team running NetSuite for finance and adding ServiceNow for FSM needs a bespoke integration — that is 3–6 months of work on top of the FSM implementation itself.

Data migration complexity

Moving historical work orders, customer records, asset registers, and parts inventory from a legacy system (or spreadsheets) adds time and cost in direct proportion to data quality. Clean, structured data in a SQL database takes weeks. Fragmented records across five spreadsheets can take months.

Year 2 costs drop significantly — implementation is done and you pay only licence + support. The Dynamics 365 scenario costs roughly $45k/yr from year 2 onward; IFS Cloud roughly $132k/yr.

How to get a realistic quote

  1. Count your users by type. Dispatchers, field technicians, warehouse staff, and read-only managers are priced differently. A headcount by role is the first thing any vendor will ask for.
  2. List the integrations you need on day one. Every integration adds implementation time. Prioritise ruthlessly — "nice to have" integrations push go-live by weeks.
  3. Ask for a total cost of ownership model, not just licence pricing. Year 1 implementation cost is almost always larger than the first-year licence. Vendors who lead with monthly per-user pricing without implementation estimates are showing you the smaller number.
  4. Request references in your industry. Pricing varies by industry as much as by platform. A utility company and a home services company both running Dynamics 365 can have very different implementation scopes.
  5. Get three quotes before shortlisting. Vendor pricing responds to competition. A competing quote from Acumatica or Odoo can move a Dynamics 365 or Salesforce quote by 15–25%.
